Pre-Arrival Information

Intake & Assessment Appointments

Part One: Intake Appointment with ISP Staff and Youth Settlement Worker

Your appointment time and date will be emailed to you.

During your Intake Appointment, you will meet with International Student Program (ISP) staff to confirm that all of the required documents have been completed and provided for registration purposes.

Required Documents:

  • Proof of immigration status (valid study permit, passport, visitor permit)
  • Student Contact Information: address where student and parent will be living; local cell phone number; valid email address for use in Canada
  • IMPORTANT: Most current school report cards (translated into English)
  • Welcome Package Checklist to review: transportation, school uniform requirement (if applicable), assessment preparation

During this appointment, you will also meet with an HCDSB Youth Settlement Worker who will discuss the support services that they provide as well as what community services are available to newcomers to Canada and how to access them. Settlement workers provide ESL support and translation services if required.

Part Two: Language Assessment with Welcome Centre Assessment Staff

Your appointment time and date will be emailed to you.

On the assigned assessment day, you and your child will meet with an English Assessor for an in-person consultation. The assessment will take approximately 1 – 3 hours. Students will be provided with opportunities for breaks as required.

Please contact the Welcome Centre immediately on the day of the assessment if you and your child are delayed or running late for the assessment. Contact information for the Welcome Centre is below:

Personal Documents

It is recommended that you provide as many of the below listed documents before your arrival in Canada.

These documents must be provided before you are able to start school:

  • Valid Study Permit
  • Verification of age (Birth Certificate/Passport)
  • Student Email address in Canada
  • Halton address where the student will be living
  • Notarized Custodianship Agreement (pages 1 & 2)
  • Most current school report cards (translated into English)

School Supplies

Depending on the courses you choose, this list may be different.

  • Computer, tablet, laptop, or similar technology
  • Stationary: 3-ring binders, folders, lined paper
  • Writing Utensils: Pencils, pens, highlighters, correction tape
  • Math Kits: Scientific calculator, protractor, ruler
  • Storage: Back pack, lunch bag, food containers, thermos
  • School Uniform & Gym Shoes

Seasonal Clothing

If you are well-prepared, winter can be fun! The snow and ice make Ontario beautiful and you will find a variety of winter sports to enjoy.

  • Coat Should be thick, heavy and water-resistant for maximum warmth.
  • Hat Winter hats, or toques, are often seen as an unofficial Canadian symbol.
  • Gloves Keeps your fingers warm!
  • Scarf Keeps your neck warm!
  • Boots Should be insulated and water-resistant.
  • Snow Pants Keeps your legs warm during winter activities like snowboarding.

  • Immunization Record A Canada Immunization Record Form must be completed, signed, and emailed to isp@hcdsb.org
  • Cell Phone & Plan Make sure your cell phone will work in Canada.
  • Canadian Bank Account Make sure your bank account will work in Canada.
  • guard.me Insurance eCard Replacement copies available by emailing isp@hcdsb.org
  • Umbrella For protection from the rain.
